Key Responsibilities
Financial Reporting & Records Management
- Maintain accurate records of financial transactions in accordance with public sector accounting standards.
- Prepare monthly, quarterly, and annual financial reports, including income statements, cash flow statements, and balance sheets.
- Reconcile accounting discrepancies and conduct regular ledger maintenance to ensure financial data integrity.
Budget Preparation & Monitoring
- Assist in drafting annual institutional budgets in alignment with government guidelines and internal development plans.
- Monitor budget implementation, flag variances, and advise departments on financial alignment.
- Support the Principal and other heads of departments in budget management and execution.
Compliance and Statutory Obligations
- Ensure timely remittance of statutory deductions including NHIF, NSSF, PAYE, and pension contributions.
- Facilitate compliance with government audit procedures and procurement laws.
- Prepare documentation required for internal and external audits, and respond to audit queries professionally.
Payroll & Expenditure Management
- Administer the payroll system, ensuring accuracy in staff salaries, allowances, and statutory deductions.
- Authorize payments and verify procurement expenditures against approved budgets.
- Monitor departmental spending to ensure adherence to institutional financial protocols.
Use of Financial Systems & Tools
- Utilize accounting software such as QuickBooks, SAP, or NetSuite to process, monitor, and report on transactions.
- Generate real-time reports using financial dashboards and provide actionable insights to senior management.
- Train junior accounts staff, ensuring standardization and best practices across finance functions.
Procurement Support
- Validate procurement requisitions and ensure alignment with financial plans.
- Review supplier payments, contracts, and invoicing for accuracy and transparency.
- Coordinate with the procurement officer to ensure policy-compliant procurement of goods and services.
Risk Management & Internal Controls
- Identify financial risks, propose mitigative strategies, and ensure adherence to internal control systems.
- Conduct regular internal audits, expense verification, and documentation reviews.
- Maintain secure filing systems for receipts, invoices, and financial statements to uphold audit readiness.
Qualifications and Skills
Required Qualifications
- Certified Public Accountant (CPA-K) accreditation from a recognized institution
- Registered member of ICPAK – Institute of Certified Public Accountants of Kenya
- Certificate in computer applications relevant to accounting and data management
- Minimum of two (2) years’ experience in a financial or accounting role, preferably within public or educational institutions
Preferred Qualifications & Technical Skills
- Bachelor’s degree in Accounting, Finance, or Business Administration from a recognized university
- Hands-on experience with accounting systems such as QuickBooks, SAP, or NetSuite
- Demonstrated ability in budget formulation, analysis, and monitoring
- Strong ethical values, attention to detail, and ability to handle sensitive information
