Key Responsibilities
Inventory & Stock Management
- Oversee daily warehouse operations including receipt, inspection, storage, and issuance of goods and materials.
- Maintain accurate inventory records using warehouse management systems (WMS).
- Conduct regular stock audits and reconcile variances between physical and system records.
- Update bin cards, stock ledgers, and digital systems with real-time inventory movements.
- Monitor stock levels proactively and alert procurement of low stock thresholds.
Logistics and Fulfillment
- Coordinate the dispatch of supplies to Scout Shops, County branches, and program sites.
- Ensure timely, accurate order fulfillment for internal and external requests.
- Liaise with transport teams and couriers to ensure reliable distribution.
- Verify documentation accuracy including delivery notes, waybills, GRNs, and invoices.
- Implement last-mile logistics solutions for decentralized delivery.
Policy Compliance & Documentation
- Develop and enforce warehouse SOPs, workflows, and safety protocols.
- Ensure adherence to procurement, financial, and inventory control policies.
- Maintain well-structured filing systems, both physical and electronic, for warehouse documentation.
- Support compliance reviews, internal audits, and risk assessments by preparing relevant data and reports.
- Contribute to procurement planning by providing usage and consumption reports.
Health, Safety, and Cleanliness
- Ensure workplace health and safety in the warehouse environment.
- Oversee handling, labeling, and safe storage of sensitive and bulky items.
- Conduct routine inspections to identify and rectify hazards.
- Train storekeepers and assistants on material handling procedures.
Team Leadership and Performance
- Supervise warehouse staff, assigning tasks and monitoring performance.
- Foster a results-oriented and disciplined team culture.
- Conduct periodic training on warehouse operations, software use, and safety compliance.
- Evaluate staff performance, provide coaching and support continuous improvement.
Coordination and Communication
- Work closely with the procurement department to align supply chain timelines.
- Coordinate with field offices and program teams to forecast material needs.
- Support procurement planning through timely provision of warehouse reports.
- Ensure seamless collaboration with Scouts Shops and partner organizations.
Qualifications and Experience
Educational Background
- Bachelor’s Degree in Supply Chain Management, Logistics, Procurement, Business Administration, or a related discipline.
Work Experience
- At least 3 years of hands-on experience in warehouse management, preferably in a development organization, manufacturing firm, or logistics company.
- Experience in managing teams, warehouse staff, or store assistants.
- Exposure to multi-location warehousing or centralized distribution systems is an advantage.
Technical Proficiency
- Proficiency in Warehouse Management Systems (WMS) and inventory tools
- Experience using Excel, ERPs, or inventory software (e.g., Odoo, SAP, or Navision)
- Strong grasp of stocktaking, stock rotation, FIFO principles, and warehouse KPIs
