Key Responsibilities
- Execute administrative and legal tasks, including payroll calculations and updating personal files, to ensure accuracy and compliance.
- Manage cash procedures to maintain high control, security, and availability of petty cash.
- Prepare employment contracts in compliance with Kenyan labor and fiscal laws, including necessary amendments.
- Enter and update data in the HR database and personal files to streamline HR processes.
- Update social security and tax office records to meet legal obligations.
- Generate monthly payslips, ensuring punctuality and accuracy of payroll data.
- Produce final payslips and employment certificates at contract end, balancing MSF’s interests and legal requirements.
- Assist in forecasting monthly treasury and planning for salaries, advances, and other financial needs.
- Provide staff with administrative information through postings, meetings, and other channels.
- Classify and prepare accounting documents, entering data into Unifield software with support from the Finance/HR Manager.
- Support document translation into local languages and assist in meetings as needed.
- Ensure daily encoding in Unifield and perform weekly or monthly cash reconciliations.
- Maintain up-to-date specimen signatories and adhere to procurement procedures.
- Organize staff files, ensuring all necessary documents (contracts, IDs, certificates) are properly archived and scanned.
- Supervise office and guest house cleaners, ensuring high standards in two SKID guest houses.
Qualifications and Skills
- Degree in Human Resources, Finance, Business, or Administration from a recognized institution.
- Minimum 2 years of experience in relevant finance or HR roles.
- Desirable experience with MSF or other NGOs in developing countries.
- Fluency in English; Kiswahili is desirable for effective communication.
- Essential computer literacy in Microsoft Word, Excel, and ERP systems.
- Desirable knowledge of Unifield and Homere software for HR and finance management.
