The Logistics and Procurement Assistant will contribute to this mission by ensuring that program delivery is supported by efficient supply chain and logistics operations. This is a key administrative role essential to the success of IsraAID’s field programs in the region.

Key Responsibilities

As a Logistics and Procurement Assistant, your core responsibilities will revolve around four key areas: procurement, inventory management, logistics coordination, and compliance support.

Procurement Duties

  • Support the preparation of procurement documentation, including Requests for Quotations (RFQs), bid analyses, Purchase Requisitions, Local Purchase Orders (LPOs), and other supporting materials.
  • Maintain accurate procurement records in both hardcopy and digital formats in accordance with IsraAID’s internal audit requirements.
  • Coordinate with the program and field teams to verify specifications and quantities in all purchase requests.
  • Ensure that all procurements are properly authorized and compliant with IsraAID’s procurement policy and donor guidelines.
  • Track procurement status regularly, following up with vendors, documenting delays, and alerting the Logistics and Procurement Officer of any discrepancies.
  • Verify delivery of goods and services, ensuring that deliveries meet required quality, quantity, and timelines.
  • Coordinate vendor communication, collecting necessary documentation such as delivery notes, invoices, and receipts, and ensuring timely payment processing.

Inventory Management

  • Update inventory records and stock levels in the inventory system on a real-time basis.
  • Ensure goods received are recorded and verified against delivery notes and purchase orders.
  • Organize and maintain storage areas, ensuring goods are stored securely and in line with safety procedures.
  • Monitor stock issuance and movements, using approved templates and ensuring proper authorization.
  • Support periodic physical stock counts and reconcile with the recorded inventory data.
  • Ensure accountability and transparency in all stock movements and maintain comprehensive documentation.

Logistics Support

  • Assist in managing the vehicle fleet, including scheduling, fuel tracking, and service history monitoring.
  • Coordinate transport requests, ensuring timely allocation of vehicles and drivers for field trips.
  • Drive organizational vehicles as assigned, particularly in cases where the designated driver is unavailable or in field-based emergency situations.
  • Liaise with the Logistics Officer to maintain updated records of vehicle insurance, maintenance schedules, and repairs.
  • Facilitate logistics support for field activities including workshop setups, distribution planning, and field visit logistics.

Compliance and Administrative Support

  • Conduct vendor background checks including site visits, reference verifications, and documentation reviews.
  • Support adherence to IsraAID and donor procurement regulations, audit procedures, and anti-corruption frameworks.
  • Participate in internal procurement reviews, preparing reports and submitting findings to the Logistics and Procurement Officer.
  • Assist in preparing procurement reports, monthly asset reports, and other logistics documents.
  • Ensure proper labeling of all assets and equipment and support the maintenance of the organization’s asset register.

Qualifications and Experience

  • Diploma in Procurement, Supply Chain Management, or Logistics from a recognized institution.
  • Minimum 1–2 years of experience in procurement and/or logistics, preferably within an NGO or humanitarian context.
  • Valid driving license (Category B) is required.
  • Membership in KISM or CIPS is a distinct advantage.
  • Proficiency in Microsoft Office, especially Excel and Word, and familiarity with inventory and procurement software.
  • Strong communication skills in both English and Kiswahili.
