Position Purpose

The Human Resource Officer is responsible for executing core HR functions that support employee productivity, team alignment, and compliance with statutory regulations. The position reports directly to the HR Manager and involves coordination with department heads, payroll, and administrative teams to ensure smooth internal operations.

Key Responsibilities

1. Recruitment and Onboarding

  • Draft and post job advertisements in coordination with HR Manager
  • Screen CVs and schedule interviews with relevant department heads
  • Conduct first-level interviews and reference checks
  • Prepare employment contracts and offer letters
  • Coordinate induction programs for new hires
  • Maintain updated staff records, photos, and job descriptions

2. HR Records and Documentation

  • Maintain up-to-date HR files, staff registers, and employee databases
  • Update HRIS systems (digital or manual) for new hires, exits, and promotions
  • Generate HR reports as requested by management
  • Safeguard personnel records and handle confidential files with discretion

3. Policy Enforcement and Labor Law Compliance

  • Ensure adherence to company HR policies and procedures
  • Enforce the Employment Act, 2007 and all CBAs (Collective Bargaining Agreements) where applicable
  • Prepare disciplinary letters, warning notices, and termination documentation when required
  • Monitor workplace policies, reporting irregularities and recommending improvements

4. Attendance and Leave Management

  • Track employee daily attendance using biometric or manual systems
  • Process leave applications in accordance with policy
  • Ensure accurate documentation of sick leave, maternity leave, annual leave, and compassionate leave
  • Reconcile leave balances and share monthly reports with payroll

5. Payroll Support and Statutory Deductions

  • Prepare and submit monthly inputs for payroll processing (absences, allowances, overtime, etc.)
  • Coordinate statutory deductions including NHIF, NSSF, and PAYE
  • Track and reconcile employee benefits and medical insurance policies

6. Employee Relations and Welfare

  • Mediate employee grievances and escalate where necessary
  • Ensure consistent implementation of disciplinary processes
  • Organize internal employee engagement events when required
  • Monitor employee behavior and recommend training or coaching interventions

7. Regulatory Audits and Risk Management

  • Coordinate with external auditors and labor officers during audits
  • Maintain compliance checklists for HR practices
  • Ensure proper filing of all compliance and statutory documents

8. Monthly and Quarterly Reporting

  • Provide detailed HR operational reports to the HR Manager and Executive Team
  • Support in quarterly workforce planning and forecasting exercises
  • Generate metrics such as headcount, attrition, sick leave, and disciplinary action frequency

Qualifications and Experience

To be successful in this role, you must meet the following requirements:

Minimum Academic Qualifications

  • Bachelor’s Degree or Diploma in Human Resource Management, Business Administration, or a related field
  • Certification by IHRM (Institute of Human Resource Management) is a significant advantage

Experience

  • At least 2–4 years of hands-on HR experience in a busy work environment
  • Proven experience in recruiting, onboarding, and HR administration
  • Strong knowledge of Kenyan labor laws and employment regulations

Technical Proficiency

  • Proficiency in Microsoft Office Suite – especially Excel and Word
  • Experience using HR Information Systems (HRIS) or Payroll software
  • Ability to draft professional letters, contracts, and reports

  • Excellent written and verbal communication skills in English and Kiswahili

Work Environment and Reporting
