Key Responsibilities
Financial & Budgetary Support
- Assist the Embassy Administrator in planning, drafting, and executing the Embassy’s annual budget.

- Maintain proper records of all financial transactions, including receipts, invoices, and payments.
- Provide administrative support for procurement processes, supplier invoicing, and payments.
- Prepare monthly financial summaries for Embassy management and government reporting.
Administrative Records Management
- Maintain and update Embassy records, including monthly expenses, inventory, vendor contracts, and service agreements.
- Ensure all administrative files are well-organized, properly archived, and easily accessible for Embassy staff and auditors.
- Manage confidential information with utmost discretion, following diplomatic protocols.
- Monitor inventory levels for office supplies and ensure timely reordering to avoid shortages.
Liaison & Stakeholder Coordination
- Act as the primary liaison with Embassy suppliers, service providers, and government agencies for procurement and administrative coordination.
- Follow up with vendors to ensure timely delivery of goods and services, resolving any disputes or delays.
- Coordinate with diplomatic partners, international organizations, and local stakeholders as needed for Embassy operations.
Event Planning & Official Delegations
- Provide logistical and administrative support for official Embassy events, high-level delegations, and ceremonial functions.
- Assist with venue booking, transportation arrangements, catering coordination, and protocol preparations for dignitary visits.
- Prepare event briefing notes, guest lists, and administrative documentation.
Office Management & Secretarial Support
- Manage correspondence, prepare official letters, memos, and internal communication for the Embassy.
- Screen and direct incoming calls, visitors, and external inquiries professionally and efficiently.
- Maintain Embassy contact lists and calendar appointments for diplomatic staff.
- Perform secretarial duties such as typing, filing, scheduling meetings, and managing office communications.
Additional Duties
- Support the Embassy team in various administrative assignments as directed.

- Provide translation or interpretation support if fluent in Spanish and/or Swahili.

Qualifications and Skills
Required Qualifications
- Bachelor’s degree in Business Administration, Human Resources, Accounting, Economics, Public Administration, International Relations, or a related field.
- Minimum of 1 year of proven experience in administrative, secretarial, or office management roles.
- Excellent proficiency in Microsoft Office Suite (Word, Excel, SharePoint, Outlook, PowerPoint).
- Fluency in English (both written and spoken) with excellent communication skills.
- Strong organizational skills and ability to manage multiple tasks simultaneously.
- High attention to detail, accuracy, and discretion in handling sensitive information.
- Ability to prioritize workload and work independently with minimal supervision.
- Strong interpersonal and cross-cultural communication abilities.
- Legal authorization to work and reside in Kenya.
Preferred Qualifications
