Key Responsibilities
Farm Documentation & Technical Compliance
- Ensure all farm technical documents are current, properly filed, and readily accessible for both internal operations and external audits.
- Oversee accurate record-keeping of harvesting schedules, spray applications, irrigation, fertigation logs, pest and disease scouting reports, and weather data.
- Maintain comprehensive post-harvest handling documentation for audit and traceability requirements.
- Regularly update chemical handler medical records and cholinesterase test results, ensuring full workforce compliance with safety protocols.
Plant Protection Product (PPP) Monitoring
- Ensure approved Plant Protection Products (PPPs) authorized by PCBP and customer-specific standards are exclusively used on the farm.
- Monitor and enforce adherence to correct chemical application rates to prevent pest resistance and maintain crop health integrity.
- Develop and implement chemical rotation schedules that utilize different modes of action to combat pest and disease cycles.
- Perform routine pH testing of spray solutions to ensure optimal pH (5.5-6.0) for chemical effectiveness.
Pest & Disease Surveillance
- Conduct comprehensive pest scouting and monitor high-risk species such as Leaf Miner, False Codling Moth (FCM), Helicoverpa armigera, and Fall Armyworm (FAW).
- Collect, analyze, and report pest surveillance data to preempt infestation outbreaks that could compromise export viability.
- Provide immediate advisory alerts to management on notifiable pest thresholds, helping avert product rejection by KEPHIS, EU, and other international phytosanitary bodies.
Hygiene & Sanitation Oversight
- Implement hygiene protocols in accordance with the farm’s Hygiene Manual, ensuring daily operational standards meet food safety regulations.
- Conduct weekly hygiene walkthroughs and score audits, enforcing corrective measures where non-compliance is identified.
- Supervise employee training in hygiene management, harvest equipment sanitation, and personal protective equipment (PPE) usage.
- Monitor farm sanitation programs that minimize cross-contamination risks across harvesting, packaging, and logistics operations.
Internal & External Audit Readiness
- Prepare the farm for all scheduled and unscheduled third-party audits (Global GAP, ETI, M&S F2F, WFA, KEPHIS, and customer-specific audits).
- Actively participate in audit walkthroughs, document reviews, and closing out Corrective Action Reports (CARs) following audit findings.
- Serve as the point of contact for certification bodies and liaise with auditors to present full compliance status during assessments.
- Conduct regular internal compliance self-assessments to verify ongoing audit preparedness.
Training & Capacity Building
- Develop and deliver structured training modules for staff on technical compliance areas including chemical safety, personal hygiene, pest management, and audit protocols.
- Maintain training records, attendance logs, and verification of employee competency following each session.
- Mentor and coach department supervisors to uphold compliance standards within their operational roles.
Food Safety Committee Participation
- Represent the VEG Division in HACCP and food safety meetings.
- Collaborate with cross-functional departments to address operational risks highlighted in HACCP audit reports.
- Oversee timely corrective actions for non-conformities related to veg field operations.
Data Reporting & Management
- Generate daily, weekly, and seasonal compliance reports for farm management, summarizing all audit preparation activities, pest trends, chemical usage, and technical performance.
- Analyze compliance data trends and provide actionable recommendations for continuous improvement.
- Manage farm compliance dashboards, tracking key performance indicators linked to international standards.
Emergency Preparedness & Crisis Response
- Support farm management in developing emergency response plans for pest outbreaks, audit failures, chemical spills, or food safety incidents.
- Conduct simulation drills to ensure staff are prepared to respond appropriately to compliance-related crises.
Qualifications and Skills
Required Qualifications
- Certificate, Diploma, or Bachelor’s degree in Agriculture, Horticulture, Agronomy, or a related field.
- Minimum of 3 years’ experience working in compliance officer jobs in Kenya within agriculture, horticulture, or agro-export industries.
- Strong knowledge of Global GAP, HACCP, ETI, F2F, KEPHIS, and international export compliance standards.
- Demonstrated ability to implement compliance protocols related to pest control, chemical management, hygiene, and audit readiness.
- Excellent documentation, report writing, and record-keeping skills.
- Proficient in Microsoft Office Suite, especially Excel for data recording and audit documentation.
- Strong interpersonal, analytical, and problem-solving capabilities.
- Ability to lead training sessions, workshops, and compliance briefings.
- Exceptional integrity, attention to detail, and strict adherence to confidentiality protocols.
Preferred Qualifications
- Specialized training or certifications in food safety auditing or compliance management.
- Experience liaising with certification bodies and governmental regulators.
- Prior experience managing audits for fresh produce exporters.
- ERP system knowledge or compliance management software experience.
- Familiarity with ethical labor compliance standards including SMETA, SA8000, or BSCI.
