Japan Information & Culture Centre (JICC):

Key Responsibilities
Administrative Coordination:
- Organize and facilitate meetings, events, and public diplomacy programs hosted by the Embassy.

- Take and compile meeting minutes, preparing concise reports for internal reference.
- Assist in preparation of budgets, financial documentation, and reimbursement claims for cultural programs.
Human Exchange & Academic Programs:
- Support coordination of scholarship application processes, screening candidates for various Japanese government programs.
- Assist in administrative aspects of human exchange programs such as inbound delegations and academic visits.
- Manage communication channels with applicants, universities, and exchange program participants.
Media Relations & Public Affairs:
- Prepare and distribute press kits for Embassy events and high-level visits.
- Monitor local and international media coverage of Japan-Kenya relations and report relevant developments to Embassy leadership.
- Maintain the Embassy’s media contacts database and support targeted media engagement.
Digital & Social Media Management:
- Promote and manage official content across the Embassy’s social media platforms and website.
- Draft culturally sensitive flyers, brochures, event posters, digital ads, and newsletters for public consumption.
- Collaborate with Embassy teams to design creative content aligned with Embassy objectives.
- Monitor website functionality and assist with routine website updates.
General Office Support:
- Assist the Head of Department with additional tasks as assigned.
- Provide administrative coverage during major Embassy functions, high-level visits, and public events.
- Ensure accurate record-keeping of program files, attendance lists, and financial reports.
Qualifications and Skills
Academic Qualifications:
- Bachelor’s Degree (or higher) from a recognized university, preferably in International Relations, Communications, Japanese Studies, or any relevant discipline.
Language Proficiency:
- Fluency in English and Japanese (both written and spoken) is strictly mandatory.
- Applicants unable to read, write, or speak Japanese will not be considered.
- Japanese nationals applying must already hold valid Kenyan permanent residence and work permits at the time of application.
Technical Proficiencies:
- Proficiency in Microsoft Word and Excel.
- Experience in managing social media platforms (Facebook, X/Twitter, Instagram, LinkedIn).
- Basic knowledge of website content management systems (CMS) considered an advantage.
- Graphic design and content creation skills using digital design software highly desirable.
Work Experience:
- Previous experience in administrative roles within embassies, cultural institutions, academic exchange organizations, or media offices is advantageous.
