Role Summary: Camp Administrator

The Camp Administrator is a full-time position responsible for executing and supervising the administrative functions of a remote safari camp. This includes producing timely financial and operational reports, maintaining staff records and rosters, overseeing stock and procurement activities, coordinating equipment maintenance schedules, and ensuring compliance with occupational health and safety standards.

The successful candidate will work under the direct supervision of the Camp Manager and in liaison with the head office to ensure the camp adheres to corporate policy and delivers operational efficiency across departments.

Key Responsibilities

Administrative Management:

  • Assist the Camp Manager with day-to-day back-office administrative operations.
  • Generate accurate and detailed monthly camp reports, including:
    • Income statements
    • Petty cash declaration sheets
    • Expense summaries
    • Muster rolls (staff attendance records)
    • Bednight figures and client origin analytics
    • F&B consumption logs
    • Fuel and generator usage statistics
    • Vehicle maintenance and mileage records
    • Solar and electrical systems performance reports

Personnel and HR Coordination:

  • Maintain staff duty rosters, shift allocations, and manage off days fairly.
  • Track uniform distribution and coordinate replenishments with the main store.
  • Facilitate recruitment and onboarding of temporary staff or contractors as needed.
  • Ensure compliance with labor laws and internal HR policies.
  • Maintain up-to-date staff files and performance logs.
  • Support the welfare of camp staff by ensuring living areas are clean, functional, and in line with company standards.

Stock and Procurement Oversight:

  • Supervise monthly and quarterly stock takes for camp shop, bar, kitchen, and cleaning supplies.
  • Maintain detailed and reconciled stock control systems.
  • Monitor reorder levels and manage incoming goods from suppliers in liaison with the procurement team.

Maintenance Coordination:

  • Maintain a written schedule of all requested maintenance tasks issued to the technical team.
  • Coordinate with the engineering team on preventative maintenance routines.
  • Record all equipment service dates, repair issues, and maintenance expenses.

Health, Safety, and Compliance:

  • Ensure Occupational Safety and Health (OSH) standards are strictly followed.
  • Liaise with the Camp Manager to ensure environmental guidelines and eco-certification standards are upheld.
  • Prepare and participate in periodic internal and external audits.

Inventory Audits and Reporting:

  • Coordinate annual inventory cycles in June, November, and March.
  • Prepare asset reports including IT equipment, kitchenware, linen, and vehicles.

Guest Relations and Hosting (as needed):

  • Support the Camp Manager in guest hosting and hospitality operations.
  • Respond to guest inquiries with professionalism and empathy.
  • Represent the camp’s ethos and values in all client-facing interactions.

Additional Duties:

  • Support any other duties as assigned by the Camp Manager.
  • Participate in staff meetings and planning sessions.
  • Attend off-site administrative training or workshops when needed.

Qualifications and Experience

  • Education: Diploma in Business Administration, Hospitality Management, Accounting, or related field from a recognized institution.
  • Experience: Minimum of 3 years in a hospitality administration role; previous lodge/camp experience is a strong advantage.
  • Technical Skills:
    • Proficiency in Microsoft Office (especially Excel)
    • Experience in using inventory and reporting software
    • Basic understanding of financial reconciliation processes
