Key Responsibilities
- Oversee Maintenance: Ensure that all equipment, installations, buildings, and fleet are maintained in optimal condition to support the embassy’s operations.
- Vendor Management: Manage contracts with service providers for construction works, repairs, renovations, and maintenance services.
- Inventory Control: Maintain comprehensive inventories for both the Chancery and the Residence, ensuring accuracy and accountability.
- Public Tenders: Organize and oversee public tender processes, ensuring transparency and compliance with procurement regulations.
- Procurement: Source and analyze quotations, liaise with contractors and suppliers, and obtain necessary approvals for expenditures.
- Financial Coordination: Issue local purchase orders, coordinate with the accounts office for financial tracking, and ensure accurate financial reporting.
- Delivery Oversight: Monitor delivery schedules and the execution of contracted works, ensuring timely and quality service delivery.
- ICT Support: Serve as the Single Point of Contact (SPOC) for ICT needs, liaising with the central ICT department and providing user support to embassy staff.
- HR Support: Assist management with various human resource processes as the SPOC HR.
- Administrative Functions: Handle all related administrative tasks associated with procurement, inventory, and staff support.
- Compliance: Ensure all logistics and procurement activities adhere to ethical standards, data protection regulations, and integrity guidelines.
Qualifications and Skills
Required Qualifications:
- Educational Background: Bachelor’s degree in Logistics, Supply Chain Management, Procurement, Business Administration, or a related field.
- Professional Experience: Minimum of 2 years in a logistics or procurement role.
- Language Proficiency: Excellent command of English (both written and oral).
- Technical Skills: Proficiency in Microsoft Office Suite, inventory management systems, procurement software, and basic ICT troubleshooting.
- Organizational Abilities: Demonstrated capacity for analysis, synthesis, and attention to detail.
- Ethical Standards: High level of integrity, respect for data protection, and adherence to ethical guidelines.
- Adaptability: Ability to handle multiple tasks within diverse teams and independently.
- Communication Skills: Strong interpersonal and written communication abilities.
- Problem-Solving: Capacity for initiative and working under pressure.
- Legal Compliance: Clean criminal record.
Preferred Qualifications:
- Language Advantage: Knowledge of Swahili, French, and/or Dutch.
- Embassy/Government Experience: Previous experience working in an embassy, government department, or NGO managing maintenance, fleet, and IT systems.
