Job Purpose: Locum Nurse
The Locum Nurse will operate as part of the 24-hour Control Centre team, managing incoming medical evacuation requests, coordinating assistance services, and ensuring comprehensive documentation of patient care activities. The role ensures seamless communication with medical personnel, patients, hospitals, and external partners while supporting mission execution by maintaining complete and accurate records across multiple administrative platforms.

Key Responsibilities
Control Centre Operations
- Operate the 24-hour Control Centre and manage communications across multiple channels, including radio, email, telephone, and CRM systems.
- Receive, assess, and respond to all incoming calls related to medical evacuations, ground ambulance requests, and medical assistance services.
- Record, document, and disseminate information promptly to the relevant aeromedical personnel for mission coordination.
- Ensure communication systems are operational and available for use at all times, including telephones, radios, and emergency communication equipment.
Patient Case Management
- Collect comprehensive patient information, including demographics, medical history, treatment needs, and current status.
- Facilitate and maintain real-time communication with patients, families, healthcare providers, referring facilities, and safety personnel.
- Liaise with hospitals, EMS providers, and foreign embassies to facilitate efficient coordination of patient care and transfers.
- Continuously monitor and follow up on inpatients while compiling regular patient progress reports.
Medical Evacuation Coordination
- Receive, review, and process emergency evacuation requests.
- Obtain necessary guarantees of payment (GOP) from clients and coordinating financial authorizations.
- Dispatch medical teams for air and ground evacuations in consultation with the aeromedical coordinators.
- Provide on-call support for ground ambulance standbys, rapid deployments, and mass casualty incidents.
Documentation & Record Management
- Ensure complete and accurate documentation of all flight files, case files, checklists, and operational reports.
- Process client orders, update patient case files in CRM systems, and ensure data completeness.
- Manage proper filing of correspondences and ensure accessibility of mission-critical documentation.
- Generate and hand over comprehensive reports at the end of each shift.
- Conduct audits of files to ensure all required documentation is complete and meets quality standards.
Client & Partner Relations
- Respond to internal and external customer inquiries, complaints, and requests.
- Maintain strong communication with insurance companies, intermediaries, government agencies, and private healthcare providers.
- Professionally handle sensitive patient information while maintaining patient confidentiality and privacy.
- Build long-term relationships with referring physicians, hospitals, and corporate clients to strengthen business development efforts.
Administrative & Communication Support
- Verify operational readiness of communication devices, including radios, telephones, faxes, and internet systems.
- Attend scheduled departmental meetings and contribute to the continuous improvement of control room operations.
- Collaborate with administrative teams to ensure optimal functioning of Control Centre systems.
- Maintain logs of all communications and track operational activities to ensure timely and efficient coordination.
Emergency Preparedness
- Be available for deployment to mass casualty or disaster areas as required.
- Carry additional emergency medical supplies and provide rapid response support as part of the emergency team.
- Attend scheduled departmental training, drills, and professional development programs.
- Participate in emergency simulation exercises to maintain readiness for critical incidents.
Qualifications and Skills
Required Qualifications
- Kenya Registered Nurse or its equivalent from a recognized institution.
- Valid Nursing Council of Kenya license with proof of active registration.
- Minimum of 2 years of experience as a practicing nurse in a busy medical facility.
- Proficiency in computer applications, including Microsoft Word, Excel, PowerPoint, Outlook, CRM systems, and internet-based platforms.
Preferred Qualifications
- Higher National Diploma in Intensive Care Nursing or Emergency Medicine is an added advantage.
- Prior experience in medical evacuation services, critical care transport, or international medical assistance.
- Experience working in an emergency or high-pressure clinical setting.
- Familiarity with CRM systems or specialized patient care tracking software.
- Ability to work in a multicultural, fast-paced, and complex operational environment.
- Fluency in additional languages such as French or Swahili may be an added advantage.
