Key Responsibilities

As the Quotations Officer, your main function is to ensure that all quotations generated by the sales team are precise, transparent, and up-to-date with supplier pricing. You will also be responsible for accounting support activities that align pricing with operational needs and client expectations.

Key responsibilities include:

Review and cross-check all safari proposals generated by the sales team within the internal booking system.
Verify that all prices for accommodations, park fees, safari jeeps, activities, flights, and other components match the latest supplier quotes.
Maintain constant accuracy of pricing across the system by updating accommodation rates, surcharges, and seasonal discounts.
Act as the central information hub for the sales department by responding to pricing queries and providing real-time updates.
Track unpaid confirmed bookings and coordinate with the finance and operations departments to ensure prompt payment follow-up.
Amend itineraries to reflect last-minute changes in safari planning or customer preferences.
Apply relevant supplements, surcharges, or discounts as required and ensure these are reflected across all documents and systems.
Ensure that room configurations (e.g., single, double, triple) are accurate and aligned with the agreed pricing structure.
Collaborate with operations, reservations, and sales teams to minimize pricing errors and maintain quotation consistency.
Support the financial team with data required for reporting, reconciliation, and performance metrics.
Assist in process optimization initiatives aimed at improving the quotation lifecycle and client response time.
Monitor system changes or supplier updates that may affect pricing accuracy or client satisfaction.

Qualifications and Skills

The ideal candidate for the Quotations Officer role will possess a mix of accounting knowledge, analytical skills, and a deep understanding of the tourism industry. Candidates should be highly organized, results-driven, and capable of working independently in a deadline-sensitive environment.

Minimum requirements include:

Bachelor’s Degree in Commerce (BCOM), Finance, Tourism Management, or any related field. CPA Level 2 is a strong advantage.
Minimum of 2 years’ experience as a Quotations Officer, Accountant, or Pricing Coordinator within the hotel or tourism industry.
Proficiency in QuickBooks is a must — ability to navigate invoicing, payment tracking, and data entry with accuracy.
Strong knowledge of accounting principles, particularly those relevant to service pricing, revenue reporting, and tour costing.
Demonstrated analytical abilities, including price matching, variance analysis, and quote structuring.
Excellent mathematical skills and attention to detail — able to detect pricing discrepancies and prevent costly errors.
Strong understanding of safari logistics, including typical costs for park entry, vehicle hire, accommodation, and guide services.
Proven communication skills — both written and oral — with a talent for explaining complex pricing structures to non-financial staff.
Effective bookkeeping abilities, ensuring all quote-related entries are accurately maintained in system logs and accounting software.
Experience in client payment collection processes, including follow-up strategies and documentation.
A problem-solving mindset — proactively addressing inconsistencies or quote delays and streamlining team workflows.
Strong time management skills, capable of handling multiple quotation requests simultaneously while meeting internal deadlines.
