Key Responsibilities
The role of the Transport Officer is operational and strategic. You will coordinate vehicle assignments, schedule movements, maintain data logs, and optimize the use of transport resources to ensure the best possible safari experience for guests.
Key duties include:
- Coordinate closely with department heads to understand and fulfill transport requirements for safaris, airport transfers, and excursions.
- Assist with the assessment of local transportation infrastructure and available resources to ensure availability of transport assets.
- Plan and allocate safari vehicles to match trip schedules, ensuring all safaris and transfers are completed with punctuality and client satisfaction.
- Install and manage vehicle management systems, ensuring accurate data entry, real-time monitoring, and reporting on fleet performance.
- Contract and manage third-party transportation services where needed, ensuring standards align with company quality and safety policies.
- Maintain a rigorous vehicle maintenance schedule — following up with garages, arranging servicing, tracking repairs, and minimizing downtime.
- Calculate kilometers covered, fuel consumption, and allowance payouts for driver guides in an accurate and timely manner.
- Monitor and update vehicle log sheets, ensuring compliance with internal control protocols and regulatory requirements.
- Track safari programs while clients are in-country to ensure smooth coordination of transport resources throughout the itinerary.
- Maintain a comprehensive transport data archive within the company’s internal system for real-time updates and historical records.
- Conduct pre-departure briefings with driver guides and safari crew to ensure readiness, route knowledge, and professionalism.
- Respond swiftly to unforeseen transport issues such as delays, breakdowns, or rerouting needs, maintaining a calm and solutions-focused approach.
- Report on transport department performance using KPIs related to mileage, fuel use, vehicle downtime, and client satisfaction.
- Support the operations team with any transport-related tasks aimed at improving client service, staff coordination, and trip execution.
- Undertake any other duties assigned by management to support the achievement of company goals and high operational standards.
Qualifications and Skills
The ideal candidate for the Transport Officer role will have a strong background in logistics, tour coordination, or vehicle fleet management. In-depth knowledge of Kenyan road networks, safari operations, and tourism logistics is highly preferred.
Minimum qualifications include:
- Bachelor’s Degree or Diploma in Transport and Logistics, Tourism and Travel Management, Business Administration, or a related field.
- At least 2 years of experience working as a Transport Officer, Fleet Coordinator, or similar role within the tourism, transport, or logistics industry.
- Strong computer literacy and IT skills, with experience using transport management software, GPS tracking tools, or cloud-based vehicle data systems.
- Excellent analytical skills, with the ability to forecast transport needs, analyze usage data, and control costs.
- Proven problem-solving skills, particularly in time-sensitive situations such as client delays, traffic disruptions, or vehicle breakdowns.
- A flexible and reliable approach to work — able to adapt to changing travel schedules, respond outside standard hours, and manage peak periods efficiently.
- Familiarity with Kenyan road safety laws, travel regulations, and best practices for transport coordination in the tourism sector.
- Strong interpersonal communication — capable of working effectively with drivers, logistics staff, and external partners.
- Team collaboration mindset — ability to liaise effectively with reservations, operations, and client services departments.
- Demonstrated integrity in handling mileage records, transport allowances, and vendor invoices.
- Working knowledge of safari planning, especially vehicle allocation for scheduled group safaris vs. private tailor-made safaris.
