Key Responsibilities

Employee Records & Database Management

  • Maintain, update, and audit employee files, both physical and digital, to ensure accuracy, completeness, and confidentiality
  • Assist in entering and updating HR data into the internal HRIS system and Excel spreadsheets
  • Ensure compliance with audit requirements and data protection laws in record management

Recruitment & Talent Acquisition

  • Assist in the entire recruitment process from advertising vacancies to scheduling interviews and follow-ups
  • Prepare interview documentation and liaise with candidates to confirm availability
  • Participate in screening CVs and coordinating interview logistics
  • Support the onboarding process including induction schedules, welcome kits, and documentation collection

Onboarding & Offboarding

  • Facilitate a smooth onboarding experience for new hires, ensuring timely communication, orientation, and policy briefings
  • Track and maintain probation review checklists
  • Assist in exit interviews and clearance documentation for offboarding employees

Performance Management

  • Follow up with departments to collect mid-year and annual performance reviews
  • Track development plans and learning objectives with respective line managers
  • Update the performance management tracking sheet and performance improvement plans (PIPs)

Training & Development

  • Coordinate training needs assessments from departments
  • Assist in preparing training schedules and liaising with external trainers
  • Maintain training records, attendance logs, and evaluation forms
  • Help in organizing internal knowledge-sharing sessions and wellness talks

HR Policy Implementation & Compliance

  • Assist in ensuring that employees are familiar with current HR policies and SOPs
  • Support the enforcement of labor laws, Occupational Health & Safety standards, and ethical codes of conduct
  • Assist in developing policy briefs and employee communication materials

Payroll & Benefits Administration

  • Assist with monthly leave tracking and reconciliation
  • Prepare basic payroll inputs including staff changes and leave balances
  • Follow up with employees for submission of statutory forms and benefits registration

Employee Engagement & Wellness

  • Participate in planning employee recognition programs and wellness campaigns
  • Help track and record employee participation in HR-driven events and feedback surveys
  • Assist in promoting workplace harmony and supporting conflict resolution mechanisms

HR Reporting & Analytics

  • Generate simple HR reports related to recruitment status, attrition, training, and performance management
  • Support trend analysis and dashboards for quarterly and annual HR reports
  • Maintain metrics to track progress on departmental goals

General Administrative Support

  • Organize HR documents, maintain filing systems, and order supplies
  • Take minutes during departmental meetings
  • Assist with internal audits and documentation reviews
  • Provide support in organizing staff retreats, career fairs, and HR exhibitions

Qualifications and Skills

Academic Qualifications

  • Diploma or Bachelor’s Degree in Human Resource Management, Business Administration, Social Sciences, or any relevant discipline from a recognized institution

Experience

  • 1–2 years of experience in an HR or administrative support role through internships or entry-level positions

Certifications

  • Associate membership with the Institute of Human Resource Management (IHRM) is desirable

Technical Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Familiarity with HR Information Systems (HRIS) is an added advantage
  • Understanding of Kenyan Employment Act and HR best practices
  • Excellent verbal and written communication skills
