Introduction

Bondo Technical Training Institute (BTTI) is a public Technical and Vocational Education and Training (TVET) institution operating under the TVET Act No. 29 within the Ministry of Education’s State Department for Vocational and Technical Training.

BTTI provides industry-relevant training designed to equip Kenyan youth with practical skills and knowledge aligned to national development goals. The institute now seeks to strengthen its support staff structure by recruiting two highly motivated and qualified individuals to fill the following positions:


1. Human Resource Officer – BTTI 1/2025 (1 Position)

Job Purpose

Reporting directly to the Principal, the Human Resource Officer will be responsible for overseeing the Human Resource and Administration function. The role involves providing leadership in policy formulation, HR planning, recruitment, staff welfare, labor relations, training and development, and compliance with labor laws.

Key Duties and Responsibilities

  • Develop and review Human Resource policies in alignment with institutional goals
  • Advise the Board of Governors (BOG) on all human resource matters and policy implementation
  • Coordinate labor relations, including negotiation and administration of collective bargaining agreements
  • Oversee HR training and development, ensuring alignment with organizational skill needs
  • Supervise support departments such as transport, catering, boarding, and secretarial services
  • Administer staff appraisals, review reports, and guide performance management systems
  • Manage recruitment and onboarding processes, ensuring proper induction and documentation
  • Handle employee grievances and disciplinary actions, in accordance with employment laws and institutional policies
  • Update and process payroll, leave schedules, promotions, probation confirmations, and transfers
  • Monitor working conditions to ensure legal compliance, health, and safety standards are met
  • Maintain staff welfare, offering counseling and guidance as needed
  • Manage Human Resource Information Systems (HRIS) and safeguard staff confidentiality
  • Ensure implementation of approved staff development programs, monitoring quality and efficiency
  • Support staff separation processes, including communication of exit terms, benefits, and clearance

Minimum Academic Qualifications and Experience

  • Bachelor’s Degree in Business Administration (HR Option), Human Resource Management, or Social Sciences from a recognized institution
  • Higher Diploma or Diploma in Human Resource Management
  • Minimum three (3) years of relevant experience in a reputable institution
  • Must be an active member of the Institute of Human Resource Management (IHRM)
  • Demonstrated knowledge of the Employment Act and labor laws
  • Proficient in computer applications and HR systems

2. Administrative Assistant – BTTI 2/2025 (1 Position)

Job Purpose

Reporting to the Principal, the Administrative Assistant will provide efficient office support and administrative assistance. The role is crucial in ensuring effective communication, record-keeping, and management of executive functions within the Principal’s office.

Key Duties and Responsibilities

  • Supervise junior secretarial and clerical staff, including monitoring and mentoring
  • Maintain the Principal’s diary and appointment schedule, ensuring proper planning and punctuality
  • Organize and retrieve administration records to improve accessibility and office efficiency
  • Ensure well-maintained office services, including cleanliness, tidiness, and availability of office supplies
  • Develop and manage an efficient filing system for both physical and electronic records
  • Receive and transfer telephone calls, correspondence, and emails appropriately
  • Maintain confidentiality of sensitive records, information, and documents
  • Manage office protocol and serve as a liaison between the Principal’s office and internal/external stakeholders
  • Take dictation in shorthand and transcribe into accurate written format
  • Receive and direct visitors and guests with professionalism and courtesy
  • Handle correspondence on behalf of the Principal, including typing and dispatch of official communication
  • Maintain an updated inventory of office equipment and supplies
  • Coordinate meetings, including preparation for BOG meetings, logistics, and hospitality
  • Manage the hospitality budget, and provide input during the budgeting process

Tools and Equipment Under Responsibility

  • Computer and accessories
  • Extension telephone and fax machine
  • Printer and other office communication devices

Nature of Decision Making

  • Operational and analytical decision-making on routine administrative tasks
  • Prioritizing tasks and communications for the Principal

Minimum Academic Qualifications and Experience

  • Completion of Single and Group Stage II with passes in:
    • CPD II
    • Communication Skills II
    • Office Practice II
    • Commerce II
    • Secretarial II
    • Shorthand II
  • One (1) year of relevant experience in a reputable institution
  • Computer literacy with proficiency in MS Office Suite

  • High-level interpersonal and customer service skills
  • Excellent organizational and problem-solving capabilities
  • Team building, multitasking, and report writing proficiency
  • Discretion, reliability, and ability to manage pressure effectively
