Key Responsibilities

  • Enforce lease agreements, monitor tenant compliance, and handle routine correspondence

  • Conduct regular inspections and follow up on tenant feedback
  • Coordinate community engagement activities such as tenant meetings or forums

Maintenance and Repairs:

  • Monitor property maintenance needs and coordinate repair schedules
  • Support procurement of supplies, parts, and materials required for property upkeep
  • Follow up on ongoing maintenance work to ensure timely completion
  • Maintain service logs and schedule preventative maintenance tasks
  • Oversee third-party contractors and ensure quality of workmanship

Financial Support:

  • Assist in managing property-related financial records, including expense logs, petty cash, and service provider invoices
  • Support in budget preparation and reporting under the guidance of the Property Manager
  • Coordinate the collection of service charges and billing from tenants and property owners
  • Track rent arrears and assist in initiating reminders or collection efforts
  • Prepare monthly financial summaries for review by senior management

Compliance and Legal:

  • Ensure properties comply with health and safety standards, city ordinances, and landlord-tenant laws
  • Assist in updating property documentation, tenancy contracts, and compliance registers
  • Liaise with legal advisors in case of tenant violations or disputes
  • Stay updated on government policies affecting real estate and community management

Staff Supervision:

  • Supervise caretakers and cleaning teams to ensure cleanliness and maintenance standards are met
  • Provide clear instructions and monitor performance based on assigned duties
  • Create staff schedules and assign responsibilities fairly across shifts
  • Participate in hiring and onboarding of new maintenance staff as needed
  • Encourage accountability and continuous improvement among junior staff

Vendor and Contractor Coordination:

  • Source and engage with vendors for services like security, fumigation, waste disposal, or landscaping
  • Monitor the quality and timeliness of services rendered by external contractors
  • Maintain updated vendor lists and review vendor performance periodically
  • Ensure service agreements are up to date and contracts are properly archived
  • Coordinate contractor access to property and validate completed work

Reporting and Documentation:

  • Maintain updated files on all properties, including tenant leases, service logs, receipts, permits, and inspection forms
  • Assist in generating reports for property owners, auditors, and senior management
  • Prepare notices for service outages, rent collection, or community policy changes
  • Use digital tools to manage communication and scheduling tasks
